Detail Operational Procedure
1. Collect the information about the deserving students, whom we should consider for assistance.
2. Verify the information by visiting their homes and meeting them and their parents.
3. Take from them the Applications filled in, giving all necessary information.
4. On other side Mandal will enlist the donors for this purpose. All such donors are automatically members
of this Mandal.
5. All donors will contribute at least Rs.250/-p.m. We will prefer donors with Rs.500/-p.m. as that is the
requirement for Food & Lodging for one student. Contributing for a year or six months is orefered.
6. Collect from all such donors their monthly contributions on or before 15th of each month. While
collecting this cash, give kachcha receipt.
7. Enter such collection in the Books of Accounts.
8. Donors who contribute Rs.500/-p.m. and are desirous of accepting Palakatva of one student should be
given the name of such adopted student; which will continue to be so as long as donor desires to continue
their relationship. In such cases Donor can think of meeting other expenses of the student with
information to Mandal.
9. Taking into consideration the funds and the requirements of the students; Mandal will select the
beneficiaries for the year. They will also allot students to donors, who desire to accept Palakatva of
students. Mandal will also finalise fund allocation for the year.
10. Mandal will arrange to pass on the donated amount to respective student, who in turn will confirm in
writing, that he has received X amount.
11. On receipt of the donation amount, concerned student will send his Report Letter (in the prescribed
form) to donor parent with a copy to Mandal.
12 Mandal will keep files/record, student wise giving their in full information from start to end.
13. Mandal will keep the accounts in such a manner that they are able to give Accounts donorwise, as well
as student wise. Such report will be sent to each donor periodically; say every six months.
14. Mandal should consider the Meeting of all it’s members periodically.
15. Mandal will try to build up the Study Book Bank from where the students can take loan of books for a
year. This bank can be built up by taking donation of second hand books.
16. Mandal also try to develope circulating Liabrary of the Biographies of those, who could be Roll Models
for these students.
17. Our help should be need based; means students should be made to think clear about their needs to
achieve their goal. Goal is HIS/HER goal and we are just extending our help in journey towards the
goal.
18. In addition to college studies, we should make special efforts to ensure that they do not loose habit of
their heard work life and just switch over to urban habits/life style. This means we should cauciously
avoid creating/increasing gap between students and their family/relatives/friends.
19. Students should continue to share the burden of their parents and if they think of alternatives for
improving their family status, they should do it together with parent’s participation.
20. We should also try to convince the students to attend to Shram Sanskar/ Other camps, every year. This
will help them to get better understanding of society and will result into making them social assets.
After starting earning, they must extend their help to those who are in need of the same.
21. During the long holidays students should earn by doing some work (For which we should extend our
help). Otherwise we will convert them from “Hard working/ effort making child” to “guardian
dependent easy going child” .
22. We can also arrange for Aptitude Tests before taking college admission.
23. We should also arrange for them periodical Medical Check Up.
